About Catering Administrator

We are currently looking for a Catering Administrator and Training Co-ordinator to work with our client.
The post holder will be responsible for the administration and management of office systems, including the co-coordinating of the menus on a daily basis for food production purposes, to include special diets and other special requirements. Working closely with the kitchen brigade to ensure controls are in place.
Provide a high quality efficient administration service to support the smooth running of the catering department.

Responsible for all works and repair logs being up to date and reported to the works department via the Estates Helpdesk and the catering equipment maintenance contractors.
Liaise with Trust customers in respect of Hospitality/functions, working with the Functions Coordinator and Management Team in delivering the functions to a high standard.
To collate all financial information for daily and monthly statistics as required.
To Collate and keep accurate records of all staff annual leave, sickness, training, and appraisals, working closely with the management team to ensure that all staff records are up to date.

Main tasks and responsibilities

Interaction with multidisciplinary users of the Catering services in a customer focused manner at all times.
Liaising with finance colleagues to ensure invoices are processed in a timely manner.
Communicate with the staff and managers within the department on a daily basis on different aspects of the catering operation.
Participate in monthly team meetings, Note taking and action management of meetings, diary management and ensure confidentiality and timelines are adhered to in the administration of the department.
·Patient/customer care (both direct and indirect)

To ensure that the daily menu is printed for each meal time for the retail outlets with the appropriate selling prices. To ensure all menus for patients and the temperatures sheets are supplied to the Supervisors assist in compiling relevant information for the management team.
To Assist the Kitchen & Food Service Manager in compiling the daily production numbers for patients, staff and visitors meals. To ensure these are collated accurately for costing purposes
Co-ordinate and regulate all Trust functions ensuring the functions electronic diary is up to date and that the information is given to the function assistant. To deal with customers and clients ordering functions.
To undertake clerical duties in the catering office dealing with enquiries, function bookings, filing and opening mail. To answer the telephone and take messages.
To photo copy relevant paper work, temperature sheets, additional menus, copy ordering and invoicing when necessary for the catering services.
To be responsible for the operation of the Catering Departments ‘computerised ordering system’, ensuring this is always up to date.

·Policy & service development
To fully participate within the Department management Team to deliver rectification plans to areas where shortfalls in service quality and delivery are identified and be an effective member of service change within the department.
Ensure all Trust / Department policies and procedures are implemented and appropriately communicated.
Maintain records in line with Knowledge and Information Management policies and information access rights.
Ensure the office environment meets health and safety requirements and that facilities comply with legislation. Assist with the development of an overall H&S plan.
